What we hold, and what we do with it.
Season Ledger is run by Draw & Ledger Software, LLC. This page is written plainly on purpose. Last updated 15 September 2026.
Who we are
Season Ledger is software made by Draw & Ledger Software, LLC, a Virginia limited liability company. We sell it to accountants and tax preparers who use it to run their appointment schedule, track which paperwork each client still owes them, and log their billable hours.

Two different kinds of information
This is the most important part of this policy, so it comes first.
Information about the firm. When an accountant signs up, we collect what we need to give them an account. That relationship is between us and them.
Information the firm stores about its own clients. When an accountant enters a client's name, phone number, meeting notes, or paperwork checklist, that information belongs to the firm and to that firm's client. It does not belong to us. We hold it on the firm's behalf and nothing more.
We are the custodian of that second category. We are not its owner, and we do not treat it as ours to use.
What we collect from firms
- The name and email address used to create the account
- The firm name, season dates, office hours, and other settings entered in the app
- Basic technical records such as sign-in times and error logs, which we keep to keep the service running and secure
What firms store about their clients
Accountants using Season Ledger may enter, about their own clients:
- Names and phone numbers
- Appointment dates, times, and status
- Notes taken during or about a meeting
- Checklists of documents the client has or still owes
- Time entries and amounts billed
We do not ask for Social Security numbers, tax return documents, bank account numbers, or copies of identification, and the app is not designed to store them.
How we use information
We use firm account information to operate the service, provide support when asked, and contact firms about the product.
We use client information stored by a firm for one purpose only: to display it back to that firm inside their own account, and to keep it safe and available. That is the whole list.
What we do not do
- We do not sell information to anyone, for any price, in any form.
- We do not use information a firm stores about its clients to improve our product, generate analytics, build aggregate statistics, train machine learning models, or develop new features.
- We do not use it for our own marketing, or anyone else's.
- We do not disclose it to any third party except the service providers listed below who are strictly necessary to run the software, or where we are required to by law.
- We do not read a firm's client records except when a firm asks us for support and we need to look at something specific to help them, or in the rare case where we must investigate a security problem.
These limits exist because information entered into Season Ledger is furnished in connection with the preparation of tax returns, and both federal law and our customers' professional obligations require it to stay confidential.
Service providers
We use a small number of outside companies to run the software. Each has access only to what it needs, and none of them are permitted to use the information for their own purposes.
Lovable Cloud provides the database, hosting, sign-in, and email delivery the service runs on.
We will update this list when it changes.
Security
Every firm's data is separated at the database level so one firm can never see another firm's records. Access is controlled by rules enforced on our servers rather than in the browser, so they cannot be bypassed by a modified page.
Information is encrypted in transit and at rest.
No system is perfectly secure, and we will not claim otherwise. What we will do is tell you promptly if something goes wrong.
If there is a breach
If we learn that information in Season Ledger has been accessed by someone who should not have it, we will notify every affected firm without unreasonable delay, and we will give them the details they need to meet their own reporting obligations.
We do this because a tax preparer in Virginia who suffers a breach of return information must report it to the Virginia Department of Taxation, and preparers in other states have similar duties. They cannot meet those deadlines unless we move quickly.
How long we keep information
We keep a firm's information for as long as the account is active.
If a firm closes its account, we will delete its data after 60 days, which gives time to change their mind or export what they need. Firms can ask us to delete sooner.
Backups may persist for a short period after deletion and are then overwritten on a regular cycle.
A firm's rights over its data
Any firm using Season Ledger may, at any time:
- Ask for a copy of everything stored in their account
- Correct anything that is wrong
- Ask us to delete their account and its contents
- Ask who has access to their information

Requests from a firm's clients
If you are a client of an accountant who uses Season Ledger and you want to know what is stored about you, or want it corrected or removed, please contact your accountant directly. They control that information, not us. If you contact us, we will point you to them and let them know you asked.
Visitors to our website
Our public website collects nothing about you. We do not use advertising trackers, analytics that identify individuals, or cookies for marketing.
If you email us, we keep the email so we can answer it.
Children
Season Ledger is business software and is not intended for anyone under 18. We do not knowingly collect information directly from children. A firm may enter the name of a client's dependent as part of a paperwork checklist; that information is controlled by the firm.
Changes to this policy
If we change this policy in a way that meaningfully affects how information is handled, we will tell account holders by email before it takes effect. The date at the top shows the last revision.
